For valuable or delicate work, involve the owner, conservator, or other responsible art specialist before packing choices are finalized. The crate, transport service, and destination arrangements should follow a coordinated plan.

Build the Packing Plan Around the Individual Piece

Document the artwork's dimensions, weight, condition, and any unstable or projecting parts. Identify where the piece can be supported and which surfaces must remain untouched. Include the frame, mount, or base in the assessment rather than measuring only the visible artwork.

The interior arrangement should prevent unwanted movement without applying pressure to vulnerable areas. Ask a qualified art-packing specialist to select appropriate contact materials and cushioning. Existing cracks, loose decoration, soft surfaces, or unusual materials may change the packing approach.

  • Record condition before the artwork is moved or wrapped.
  • Photograph the piece and any vulnerable details.
  • Obtain instructions for orientation, supports, and permitted handling.
  • Confirm whether detached parts need individual packing and identification.

Specify Environmental Needs for the Whole Journey

An outer wooden crate does not automatically maintain a controlled temperature or humidity. If the artwork has environmental requirements, discuss the packing system, vehicle, storage points, and expected travel conditions with the responsible specialist.

The Canadian Conservation Institute's guidance on packaging and transporting artwork considers transport hazards and environmental protection as connected parts of the plan. Insulation and barriers have limits; their suitability depends on the object and journey. Agree on any acclimatization or opening instructions before dispatch.

Consider Dust, Moisture, and Handling Exposure

Think through each transfer between the collection site, vehicle, storage location, and destination. Ask where the package may wait and whether it could be exposed while being loaded or unloaded. A carefully packed object can still be put at risk by an unsuitable handling arrangement.

Discuss protective layers and closures that suit the art, and keep instructions accessible without opening the crate. If monitoring or indicators are proposed, confirm their purpose and what the receiving team should do if they show an unexpected condition. Avoid treating an indicator as proof that no damage occurred.

Confirm Transport, Export, and Insurance Requirements

Choose a carrier whose agreed service matches the work's handling needs. Confirm collection and delivery appointments, custody, and who is authorized to open the crate. Provide the insurer with the information it requests and check the actual policy and claims requirements directly.

For an international move, consider wood-packaging requirements separately from artwork documentation and import or export restrictions. ISPM 15 wood-packaging guidance addresses plant-health measures; it does not determine the artwork's legal movement or insurance coverage.

Plan Unpacking and Installation Before Arrival

Agree on the opening sequence, required tools, and the people responsible for handling the artwork. The receiving location needs adequate space and an appropriate place to set the work down. Removable panels and clear internal labels can help when they are included in the design.

Provide packing photographs and keep the crate components organized if the work will travel again. Inspect the package and record the artwork's condition using the agreed procedure. Any installation, conservation, or repair work should remain with the appropriate specialist.
