Stage Equipment Crating in Las Vegas
Las Vegas stage equipment moves between concerts, touring productions, trade shows, theaters, and casino events. Lighting systems, LED walls, audio consoles, rigging equipment, and custom props can be valuable, oversized, and sensitive to handling damage.

Purpose-built crates help production teams keep equipment protected and organized between venues. The packing plan should reflect the equipment's manufacturer instructions, the tour schedule, and the way crews will load, unload, and use it.
Why Stage Equipment Requires Specialized Crating
Stage production equipment is often fragile or custom-built for a particular performance. A crate needs to suit the dimensions and weight of each item, with supports positioned around approved load-bearing areas rather than lenses, connectors, screens, or decorative surfaces.
Reinforced framing, internal bracing, and selected cushioning can help reduce movement and handling damage. Those features must work together: a strong shell is of limited value if equipment can strike its interior or if restraints place pressure on a vulnerable component.
Before ordering, provide an equipment list, dimensions, weights, photographs, and any available transport instructions. Identify which items will travel assembled and which will be packed separately. Include the packed size in the venue-access and vehicle-loading plan.
Protect Lighting, Audio, and LED Systems
LED panels, digital audio systems, projectors, and moving lights contain components that may be affected by impact, vibration, dust, or moisture. Fitted interiors can separate equipment and reduce contact between adjacent pieces. For sensitive electronics, confirm any electrostatic-discharge packaging requirements with the manufacturer.
Use clearly identified spaces for cables, controllers, mounting hardware, and accessories. Protect exposed connectors and delicate surfaces, and keep heavy hardware from moving into lighter equipment. Retain original transport supports or cases where the manufacturer specifies them.
The intended packing arrangement should be easy for crews to repeat. A simple inventory and packing photographs help the next team check what belongs in each compartment and spot missing or damaged items before load-out.
Build for Touring and Repeated Use
Touring productions need packaging that can tolerate repeated handling. Reusable crates may include removable panels, durable closures, fitted inserts, and accessible compartments to support efficient setup and teardown.
Reuse still requires inspection. Check the base, panels, fasteners, handles, closures, and interior supports before each trip. If casters or other handling accessories are used, their suitability must be assessed for the loaded crate and the surfaces it will cross. Replace damaged components before returning the crate to service.
Label the crate and its contents consistently with the production's inventory system. Agree on storage for empty crates during the event and plan the return shipment while the crew and carrier details are available.
Plan for Las Vegas Heat, Dust, and Outdoor Loading
Outdoor loading can expose equipment to heat, dust, and weather. Protective covers and appropriately designed barriers may reduce exposure, but an ordinary wooden crate is neither climate-controlled nor automatically waterproof.
Follow each item's storage and transport limits. Reduce unnecessary time in direct sun, protect equipment during transfers, and discuss controlled transport or storage conditions when required. Let the packaging team select a coordinated moisture-protection system instead of combining wrapping, ventilation, and desiccants without a clear purpose.
At the destination, follow the manufacturer's instructions before powering up equipment that has experienced a significant environmental change. Crating is one part of that handling plan.
Coordinate Entertainment Logistics
A missed loading window can disrupt a production. Share pickup and delivery appointments, venue access rules, dock dimensions, equipment restrictions, and the names of the receiving contacts when planning the shipment.
Confirm on-site packing requirements and scheduling with the provider. Same-day or weekend service, staffing, and turnaround depend on the actual job and availability and should be agreed in writing rather than assumed.
For international tours, review destination wood-packaging requirements and the shipment paperwork with the freight team. Include the return route if crates will travel back with the production.
