CRATING PROVIDER CHECKLIST
How to Evaluate a Custom Crating and Packaging Service
A useful crating proposal explains how the provider will pack your particular item and what work is included. General claims about quality are harder to compare than a clear assessment of the cargo, design, materials, handling, and delivery responsibilities.

Whether the shipment contains artwork, machinery, electronics, or household valuables, use the same basic questions to assess providers. Then adapt them to the item's specific risks and destination.
Ask for Relevant Experience and a Clear Assessment
Look for experience with cargo that has similar characteristics to yours. Relevant weight, fragility, surface sensitivity, and handling challenges are more informative than a broad list of industries. Ask how the provider would approach those features on your job.
Share measurements, reliable weight information, photographs, and any manufacturer or specialist instructions. Notice whether the provider asks for missing details before recommending a design. If a site visit or further inspection is needed, confirm when it happens and whether it affects the quote.
- Can the provider explain how the item will be supported?
- Which parts require protection or additional clearance?
- What preparation must happen before the packing crew arrives?
- What assumptions still need to be confirmed?

Evaluate What Customization Actually Includes
Custom dimensions are only one part of a packing solution. Interior supports, access panels, closures, orientation, and compatibility with the handling equipment may all matter. Ask which of these are included and which require separate decisions.
Explain whether the crate is for one trip, storage, or repeated use. A removable panel may help with access, while an organized compartment layout may help with recurring shipments. Any environmental requirements should be addressed explicitly rather than assumed from the word custom.
Discuss Materials in Relation to the Cargo
Ask why the proposed structure and protective materials suit your item. The provider should be able to discuss the roles of the base, framing, panels, cushioning, and restraints without relying on vague descriptions such as premium or heavy-duty.
If surfaces are sensitive or equipment has special requirements, bring the appropriate specialist guidance into the selection process. A material that works for one object may be unsuitable for another. Clarify the protection expected during storage and transfer as well as while the shipment is moving.

Confirm the Provider's Role in Shipping Compliance
For international shipments, ask how applicable wood-packaging requirements will be handled. APHIS explains the plant-health purpose of ISPM 15. The crate's treatment and marking should be considered separately from the cargo's other shipping requirements.
Establish who is responsible for freight arrangements, documents, carrier acceptance, and any specialist review. Do not assume that a packaging quote includes customs brokerage or every service needed to move the shipment.
Read Reviews and References With the Scope in Mind
Customer feedback can help you identify useful questions about communication, schedule changes, packing, and follow-through. Look for details relevant to your project rather than treating a rating as proof that every shipment will have the same result.
When references or project examples are available, ask what service was actually supplied and whether it resembles the work you need. Avoid relying on unsupported credentials, unnamed awards, or an unverified promise of damage-free delivery.
Compare Quotes on the Same Basis
- List the crate, interior protection, and packing labor included.
- Confirm any on-site access, collection, delivery, or storage arrangements.
- Check the agreed schedule and how scope changes are approved.
- Identify the carrier, handling teams, and receiving responsibilities.
- Review applicable liability and insurance terms with the relevant providers.
A lower initial price may cover fewer services. Keep the comparison tied to the complete job and ask for clarification wherever the scope is unclear.
