Work through the guide in order, or jump to the inspection log when you need a record for a specific delivery.
Before the truck arrives
Receiving starts before delivery day. Share the shipment reference, piece count, outside crate dimensions and gross packed weight with the receiving team. Confirm that the site has the space, access and appropriate equipment to unload and move the shipment.
Identify who can accept the delivery and who is responsible for unpacking. Obtain the packing list and any manufacturer or crating-provider opening instructions in advance. Keep a camera or phone available for condition records, and identify a safe inspection area.
This checklist organizes observations. The carrier's service terms and the seller's process determine how delivery exceptions or damage reports must be handled.
Match the delivery to the shipment record
- Check the shipment reference and destination against your paperwork.
- Compare the number of crates or packages with the expected piece count.
- Record each crate ID and any missing or extra pieces.
- Check that the delivery can be unloaded using the agreed equipment and access.
If the shipment differs from what was arranged, contact the shipment coordinator and carrier before proceeding. Do not improvise lifting or move a load using equipment of unknown suitability.
Record the exterior condition
Photograph all accessible sides of the crate and the labels before opening it. Take a wider photo for context and close-ups of anything unusual.
- Look for broken panels, displaced closures, punctures, crushed areas or a damaged base.
- Record wet areas, torn wrapping or signs that the package has shifted.
- If handling indicators were fitted, record their condition without treating them as proof of the contents' condition.
- Record observations accurately through the carrier's delivery-exception procedure.
Contact the carrier and seller promptly if there is a discrepancy or visible damage. Ask them for the applicable reporting steps and deadlines; there is no single deadline that applies to every freight service.
Open the crate using its instructions
Move the crate only with suitable equipment and trained personnel. Review the closure method, opening sequence, contents orientation and any lifting instructions before removing a panel. Keep people clear of panels and components that could move when released.
If the crate is unstable or the contents appear to have shifted, stop and arrange qualified handling support. Do not cut restraints or remove supports without understanding what they hold. Photograph the interior arrangement before taking out packing materials.
For equipment, follow the manufacturer's inspection and preparation requirements before powering it on. Crate arrival is not the same as approval to place the equipment into service.
Reconcile contents and preserve the record
Match item IDs, quantities and accessories against the crate packing list. Record missing pieces, visible changes in condition and displaced internal supports. Compare with pre-shipment photos if available.
Keep the package, relevant packing materials, labels and photographs while the responsible parties advise on next steps. Do not discard potential inspection evidence or attempt repairs simply to close out the delivery record. Store records in the location agreed by your organization.
