Decide which shipments need a custom crate

Start with the item’s dimensions, verified weight, fragility, replacement difficulty, and approved orientation. Consider how it will be lifted and how many times it may be handled. A fitted crate can provide a designed base and restraint arrangement, but suitable cartons or transit cases may work for other products.

Business shipment Questions for the design
Artwork or a one-off product Which surfaces and projections must remain untouched?
Medical or technical equipment What does the manufacturer require for relocation?
Industrial component Where can the load be supported and restrained?
Exhibit kit How will the crew inventory, unpack and repack it?

Prepare one complete project brief

  • Maximum dimensions and measured or manufacturer-confirmed weight.
  • Photographs and descriptions of sensitive surfaces and attachment points.
  • Origin, destination, receiving access, and required dates.
  • Whether you need an empty crate, full packing, on-site work, or shipping support.
  • Expected reuse, return arrangements, and any export route.

Mark uncertain measurements clearly. A builder may need a site survey or additional information before confirming the specification. Accurate item details help avoid ordering a crate that fits the cargo but cannot fit the delivery doorway.

Understand the design-to-delivery workflow

  1. Confirm the cargo and handling requirements.
  2. Review the proposed structure, supports, access panels and packing scope.
  3. Agree the estimate, assumptions, timeline and approval points.
  4. Build and fit the package, with a condition record before closure.
  5. Confirm the carrier handoff and receiving instructions.

Ask what quality checks and documentation are included rather than assuming every job includes CAD drawings, packaging tests, torque records, or a particular turnaround. Confirm any critical deadline before placing the order.

Consider on-site crating for difficult items

On-site work can avoid moving a large or delicate item to a separate packing shop. It requires enough workspace and a route for the completed crate to leave the premises. Identify stairs, elevators, narrow turns, dock restrictions, and available lifting equipment.

Specialist work remains separate: equipment disconnection, art conservation, medical-device preparation, rigging, and installation should be assigned to qualified people. An on-site build does not itself preserve calibration or eliminate handling risk.

Check export packaging and delivery scope

For international shipping, tell the provider the destination and identify any solid-wood framing, skids, or dunnage. Ask how applicable treatment and marking are handled. ISPM 15 concerns pest risk in wood packaging, not product performance or guaranteed entry.

Packing, freight, customs brokerage, inside delivery, unpacking, and installation can be different services. Get an itemized description. Confirm who books the carrier, supplies documents, communicates with the receiver, and handles exceptions.

Ask about carrier liability and any separate insurance with the relevant provider. Do not assume a declared value, premium packing service, or “white glove” label explains all coverage and delivery tasks.

Budget for repeat use and evaluate providers

For recurring shipments, include empty returns, storage, repair, and repacking labor in the comparison. Replaceable inserts and labeled panels can help the crate stay usable. Request evidence for sourcing or environmental claims instead of assuming wood is automatically a lower-impact choice.

Use examples of comparable work, clear specifications, and realistic scheduling to evaluate a provider. Customer reviews may offer context, but unsupported aggregate claims about fewer losses or faster installations should not substitute for a project-specific plan.
